Hills Balfour is the Agency representing the Province of Ontario in the United Kingdom and the Republic of Ireland.

We understand that privacy is important to you and are committed to protecting it online. Hills Balfour, Ltd on behalf of Ontario Tourism strives to handle personal data in a manner which is consistent with the local privacy laws that apply.

The purpose of this statement is to inform users of this website what information is collected about them when they visit this site, how this information is used and if it is disclosed.

As set out above, Hills Balfour, Ltd on behalf of Ontario Tourism is committed to safeguarding your personal data. Whenever you provide such information, we are legally obliged to use your information in line with all relevant laws concerning the protection of personal data, including the UK's Data Protection Act 1998.

This Privacy Policy applies to the website – www.travelontario.co.uk which is the official Ontario travel site for UK and Irish visitors, and all of its sub-domains.

The website contains hyperlinks to other websites owned and operated by third parties for your convenience and information only. These third party websites may have their own privacy policies and we urge you to review them. We have no control over the contents of those linked sites or resources, and accept no responsibility for them or for any loss or damage that may arise from your use of them.

2. Types of information we collect

This Privacy Statement covers personal data, non-personal data collection and aggregate reporting.

Personal data

Personal data is defined in the UK's Data Protection Act 1998 as any data which relates to a living individual who can be identified from such data. Hills Balfour uses personal data on behalf of Ontario Tourism to understand better your needs and interests and to provide you with better service. Once you choose to provide us with personal data, you can be assured it will be used only to support your relationship with The Province of Ontario. We take seriously the trust you place in us and will not sell, rent or lease your personal data to others without your permission.

On Ontario's UK website (ontariotravel.net/uk), you can order various guides and maps, request information and subscribe to marketing or support materials associated with The Province of Ontario. The types of personal data you provide to us on these pages may include name, address, phone number, e-mail address.

Non-personal data

This is data about usage and service operation that is not associated with a specific personal identity. Hills Balfour on behalf of Ontario Tourism collects and analyses non-personal data to evaluate the performance of the ontariotravel.net/uk website and also how visitors use the www.travelontario.co.uk website so as to use this data to further improve user experience. Non-personal data we collect may include the pages visited on the website, unique URLs visited within www.travelontario.co.uk, browser type, IP address, software and hardware attributes and information on geographical location of the user.

Mailing address – We may collect name, email address, postal address and other personal data for the purpose of sending out the maps/guides that you may have ordered on the www.travelontario.co.uk website.

Affiliated sites - We offer some of our services, which relate to the Province of Ontario, in connection with other affiliated websites. Personal data that you provide to those sites may be sent to us in order to deliver the service. We will process such personal data in accordance with this Policy. When you visit www.travelontario.co.uk, we send one or more cookies - a small file containing a string of characters to your computer that uniquely identifies your browser. We use cookies to improve the quality of our service on behalf of Ontario Tourism by storing user preferences and tracking user trends, such as how people search. Most browsers are initially set up to accept cookies, but you can reset your browser to refuse all cookies or to indicate when a cookie is being sent. However, some features on www.travelontario.co.uk may not function properly if your cookies are disabled.

3. Disclosure of Your Information

Hills Balfour will not share personal data with any other third parties without your permission, unless to: (i) respond to duly authorised information requests of governmental authorities; (ii) comply with any law, regulation, subpoena, or court order, (iii) help prevent fraud or to enforce or protect the rights and properties of Hills Balfour on behalf of Ontario Tourism ; or (iv) to protect the personal safety of its employees.

Hills Balfour will disclose personal data about you internally to only those employees who may require access to it for the purpose of fulfilling their duties on behalf of Ontario Tourism and to third parties for the supply of goods and services in relation to Ontario Tourism, for Ontario Tourism website administration, or elsewhere when you have consented to such disclosures, or where such disclosures are required or permitted by law. These third parties are contractually bound only to use personal data to perform the services that we hire them to provide on behalf of Ontario Tourism. Third Party Service Providers:Hills Balfour employ other companies and individuals to perform certain functions on Ontario Tourism's behalf. Examples include fulfilling orders for maps and guides that were placed online, delivering packages and sending postal mail, providing marketing assistance, providing search results and links (including paid listings and links). Such third party providers have access to personal data needed to perform their functions, but may not use it for other purposes. Further, they must process the personal data in accordance with this Privacy Policy and as permitted by the UK's Data Protection Act 1998.

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by employees operating outside the EEA who work for us or for one of our third party providers. Such persons may be engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing.

Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the Internet is not always completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. 4. Choices for Personal Data

When you order Ontario maps/guides, Hills Balfour may ask you to provide personal data like your postal address. If we use this information in a manner different than the purpose for which it was collected, then we will ask for your consent prior to such use. We will only ever use this information in relation to Ontario Tourism.

If we propose to use personal data for any purposes other than those described in this Policy and/or in the specific service notices, we will offer you an effective way to opt out of the use of personal data for those other purposes. We will not collect or use sensitive personal data for purposes other than those described in this Policy and/or in the specific service notices, unless we have obtained your prior consent.

You can decline to submit personal data, in which case we may not be able to provide the request to you.

5. Information Security

Hills Balfour on behalf of Ontario Tourism takes appropriate security measures to protect against unauthorized access to or unauthorized alteration, disclosure or destruction of data. These include internal reviews of our data collection, third-party storage and processing practices that we employ and security measures, as well as physical security measures to guard against unauthorized access to systems where we store personal data.

We restrict access to personal data to our employees and contractors who need to know that information in order to operate, develop or improve our services on behalf of Ontario Tourism. These individuals are bound by confidentiality obligations and may be subject to discipline, including termination and criminal prosecution, if they fail to meet these obligations.

6. Access to Personal data

You may renew, update or delete personal data that we hold about you by contacting us as detailed below.

The UK's Data Protection Act 1998 gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.
